What Must a Tax-Deductible Receipt Include?
The IRS has specific requirements for charitable contribution receipts. To ensure your donors can claim their deduction, include:
- Organization's legal name — as registered with the IRS
- Organization's EIN — your Employer Identification Number
- 501(c)(3) status statement — confirmation of tax-exempt status
- Donor's name — the individual or entity making the contribution
- Date of donation — when the contribution was received
- Amount of cash contribution — or description of non-cash donation
- Goods or services statement — whether anything was provided in exchange
- Good faith estimate of value — if goods or services were provided (e.g., dinner gala)
ZapInvoice's receipt template includes fields for all of these. Fill in the details, download the PDF, and send it to your donors before they file their returns.
For Nonprofits and 501(c)(3) Organizations
If your organization received donations in 2025, your donors are counting on you to provide proper receipts during this tax season. For donations of $250 or more, a bank statement alone isn't sufficient — the IRS requires a written acknowledgment from the organization. Don't leave your donors without the documentation they need.
For Donors Claiming Deductions
If you made charitable contributions in 2025 and haven't received receipts yet, reach out to the organizations now. You'll need proper documentation to claim your deduction on Schedule A (Form 1040). The tax filing deadline for 2025 returns is April 15, 2026.
